How to start
For anyone who wants to use Shop Follow-ups. About 15 minutes the first time. Free.
App link (to copy and send to others): https://script.google.com/macros/s/AKfycbxbNPWgRTi4oL_4c0Z_jNo2FH-zCCc7M20dGO-TMZkIkq5vpFTXS2kv1RzDlk4K8S4/exec
1. Open the app and sign in
- Click Open Shop Follow-ups above.
- Click Sign in with Google. A small Google window opens: choose your Google account (several accounts in one browser is fine). Google asks only to share your email address. Click Continue.
- The window closes and you are in. Next time you are signed in already (on that browser). To leave, click Sign out at the top right.
2. Create your workspace
- On the Welcome page, check the email shown is yours (if not, click Sign out and sign in with the right account).
- Write a workspace name (for example “My shops”) and your first shop’s name.
- Click Create my workspace. Your shops and customers are kept in a Google Sheet shared with you (Google Drive → “Shared with me”). Nobody else can see it.
Someone already uses the app with you (family, a partner)? Don’t create a workspace: ask them to add your Gmail in their ⚙ Settings → People, then reload the page.
3. Connect the Gmail that sends
- Click ⚙ Settings (top right).
- Under Gmail accounts, click + Connect a Gmail account. A Google tab opens.
- Choose the Gmail that should send for your shop (it can be different from your own account).
- “Google hasn’t verified this app” → Advanced → Go to Shop Follow-ups (unsafe).
- Tick Send email on your behalf → Continue. Come back to the app tab: it shows ✓ Connected.
- Click Send test next to it and check that Gmail’s inbox got the test email.
- Repeat for every Gmail you want to send from. You can connect as many as you need.
4. Set up your shops
- In ⚙ Settings → Shops, choose for each shop which connected Gmail sends its emails. It saves at once and shows ✓ Ready.
- More shops: on the home page click + Add a shop, write the name and click Add, then choose its Gmail in ⚙ Settings → Shops.
- Change a shop’s name: open the shop and click ✎ Rename next to its name, type the new name, click Save.
- Optional: People → write a helper’s Gmail → Add. They open the same link and can upload and send, but cannot change Settings.
5. Upload the people to contact
- Click ← All shops and choose a shop.
- On 1 Contacts, drag your Excel file onto the box (or click Choose files). You can choose several files at once: each one is checked and imported in turn (“file 1 of 3”…).
- Check each column choice: Name, Email, Phone, and Consent (did they agree to be contacted?). Click Import.
- Only people with a clear “yes” consent get messages. If your file has no consent column but everyone agreed, tick Everyone in this file agreed… before importing.
- Every file you upload is kept in the Upload history (under the upload box): how many people, when, by whom, and what was already sent to it. Next to each file: ✉ Send email, WhatsApp, Show people, Rename, Remove (removing a file never deletes the people).
- Use a file again for a new message — no need to upload it again: click ✉ Send email or WhatsApp next to it and write the new message. The same message is never sent twice to the same person; a different message goes to everyone in the file.
- Uploading a file with the same name again asks: Update it (the file becomes the people in the new file) or Keep both.
6. Send the emails
- Open 2 Send emails. Write the subject and message. Click + Insert the person’s name so each person gets “Hello Sara,”, “Hello Ahmed,”…
- Under Who gets it? choose Everyone in this shop, or Only people from these uploaded files and tick the files.
- Choose when to start and how many minutes between emails (5 is safe).
- Click Check who will get it →: it shows who gets it, who is skipped and why, and exactly what they see.
- Click Start sending. You can close the page and turn off the laptop: the emails go out by themselves.
- Follow it on 3 Progress. You can Pause, Resume or Stop for good any time.
7. WhatsApp (optional)
On a shop’s WhatsApp tab, choose one:
- From a Mac (free): the workspace owner clicks Set up a Mac, copies the line shown, and on the Mac opens Terminal (⌘ + Space, type Terminal, Enter), pastes it (⌘ + V) and presses Enter. After “Done”, click Open WhatsApp on the Mac and scan the QR code with the phone (WhatsApp → Settings → Linked devices). The Mac must stay on while sending.
- WhatsApp Business API (paid to Meta): works even with every laptop off. The owner connects it once in ⚙ Settings → WhatsApp Business API (the steps are written there). Then choose an approved template and press Start sending.
- By hand: click Open WhatsApp next to a person and press Send yourself.
Who gets it? At the top of the WhatsApp tab: everyone, or only people from the uploaded files you tick.
Photos and videos:
- From a Mac: under the message, click + Add a photo or video (photos JPG/PNG up to 5 MB, videos MP4 up to 16 MB — WhatsApp’s limits). The message is sent as the caption under it. Choose No photo or video for text only. Try it with one person (yourself) first.
- Business API: create a template in Meta’s WhatsApp Manager with an Image or Video header and get it approved; in the app, choose it and pick (or add) the photo/video. It is sent at the top of the message.
- iPhone videos (.mov) and photos (HEIC) must be saved as MP4 / JPG first. “Open WhatsApp” by hand fills in the text only — attach the photo yourself (📎).
- The same text with a different photo counts as a new message.
If something goes wrong
- I see someone else’s email or shops: click Sign out (top right) and sign in with your own Google account.
- The Google window did not close: copy the code it shows and paste it in the app where it asks for it.
- “Access blocked” when connecting a Gmail: the app has reached Google’s limit of 100 connected Gmail accounts for unverified apps. Contact the address below.
- A shop says “Sending Gmail not connected”: ⚙ Settings → connect the Gmail, then choose it under Shops.
- A send is paused with “needs to be reconnected”: ⚙ Settings → Reconnect next to that Gmail → Allow → then Resume on the Progress tab.
- Someone asks to stop: find them on Contacts and click Mark opted out. They are never messaged again.
